What it does
Botkeeper provides accounting firms with machine-assisted bookkeeping, workflow tools and optional services. Firms connect client accounts, map them to QuickBooks Online or Xero and choose which transactions can post automatically. Subscriptions charge per client, while review settings control how much work remains with the accountant.
Botkeeper is designed for accounting firms processing books across clients. Its automation handles routine data-entry work and connects that processing to the general ledger, the accounting system's record of transactions.
Decide what can post automatically
Use Add Client to enter the business, accounting system, close day and responsible staff member. Connect its ledger, then set the historical training period, excluded accounts and materiality threshold for larger transactions that need review. Map each bank feed to the correct ledger account.
The automation strategy changes the review boundary. Balanced posts high-confidence transactions and holds others. Conservative holds every transaction for review. Aggressive can post high-, medium- and low-confidence entries. The firm's choice therefore matters more than a blanket claim that lower-confidence items always wait for approval.
In Transaction Manager > Configurations, a Partner Admin can choose AutoPush, ManualPush or no automation. AutoPush needs Smart Connect, and Botkeeper requires the existing bank feeds in the client's ledger to be disconnected to avoid duplicate postings. Its start date can reach up to 24 months into the past.
With ManualPush, Add Transactions to GL posts an item but keeps it in Needs Review. Add to GL & Mark Reviewed also clears the review step. Those actions let the accountant distinguish a posted transaction from a completed check.
Per-client subscriptions
For 1 to 4 clients, the price is $149 per client per month, or $134 per client per month billed annually. For 5 to 9 clients it is $109 or $98; for 10 to 24 it is $79 or $71; and for 25 or more it is $59 or $53, using the same monthly-versus-annual billing order. Botkeeper does not offer a free trial. Arrange a demonstration and confirm the required client licences and any added services before setup.
