What it does
Brex connects spending budgets, employee expenses and procurement controls with transaction coding, accruals and accounting-system handoff. Essentials has no per-user subscription charge, while advanced controls are paid. Businesses must meet Brex account requirements, including US incorporation.
Brex connects the point where staff spend money to the records a finance team needs at close. Budgets and transaction limits define permitted spending, while receipt collection gathers the supporting documents. Vendor-specific cards and purchase approvals add controls before money leaves the business.
Preparing an expense that is not ready for final posting
The accruals feature lets finance staff record an expense temporarily while waiting for its remaining documentation. First configure the card and reimbursement accrual-liability accounts in Integration settings, separately for each entity where needed.
In Accounting > Prepare, select transactions and choose Prepare as accrual. Check their categories in Review, then use Export to choose the posting and reversal dates. With a supported direct connection, the accounting system receives the accrual and its scheduled reversal. The original transaction returns to Prepare on the reversal date for a fresh decision.
Accruals are listed for Premium, Enterprise and Smart Card. Supported systems include QuickBooks Online, NetSuite, Sage Intacct, Oracle Fusion and Workday. Custom Accounting is also supported, but it does not automatically create the reversing journal.
Brex software plans
| Plan | Listed charge | Main distinction |
|---|---|---|
| Essentials | $0 per user per month | Accounting integrations and up to two entities |
| Premium | $12 per user per month | Custom expense policies, advanced approvals and live budgets |
| Enterprise | Custom quote | Unlimited entities and tailored implementation |
| Smart Card | Custom quote | Procurement-focused cards and merchant controls |
The free software tier is not a promise that every payment service is free.

Brex's application begins with your name, company, work email and mobile number. Applicants need a US employer identification number, valid US incorporation, US operations and a verifiable US physical address. Mailboxes do not qualify. Card repayment options have further business and financial criteria, and meeting a published requirement does not guarantee approval.
