What it does
ChargeOver manages subscription invoices, payment collection, reminders and receivables reports. A product's billing cycle can be reused across customers, while individual subscriptions can have their own terms and payment method. Businesses connect a payment gateway and can give customers a portal for invoices, statements and payment updates. A free test sandbox precedes paid live billing.
ChargeOver's setup follows the objects a billing team already works with:
- Use Products > New Product to define what you sell, its rate and billing cycle.
- Add the customer's billing details through the orange plus button.
- Open that customer's subscription tab, choose New Subscription, add the products and set the duration, trial or payment method.
The subscription then generates an invoice each billing cycle. A payment method can be assigned for automatic collection. Reusable products save setup time, while customer-specific prices and terms handle negotiated arrangements.
A new account starts in Test Mode. ChargeOver says test emails are redirected to the account owner and payment gateways are disabled, so test transactions do not charge customers. Live billing requires the paid account and payment setup.
Pricing starts at $229 per month, with no annual commitment and unlimited invoices. The fee scales with active paying customers rather than a percentage of invoiced revenue. A customer with an active subscription, a payment or money owed in the month can count. Crossing the plan's customer allowance automatically moves the account to the appropriate tier, including downward changes. Gateway and merchant-account charges are additional.
Before going live, distinguish payment terms, which control when an invoice becomes overdue, from the payment cycle, which controls how often it is generated. Configure reminders and failed-payment retries around those terms. Automatic cancellation for overdue subscriptions is an optional behavior to review carefully.
The customer portal can show statements, subscriptions and past or upcoming invoices, and let customers update payment details. Administrators assign roles to control access to billing data and features.
For overdue balances, open Report Center and use the accounts-receivable aging or overdue-invoice reports. Customer churn and monthly recurring revenue have their own reports, so a missed payment should not automatically be read as a canceled customer.
ChargeOver describes its software as available internationally. Actual collection methods still depend on the connected provider: the getting-started guide distinguishes US bank debit from the Canadian and Australian routes. Check the gateway for the business's country and settlement requirements.
