What it does

Expensya, now named Medius Expense, captures employee receipts and connects expenses with company policies, budgets and accounting systems. Staff can record costs offline on iOS or Android, while finance teams review reports and prepare exports. Its small-business offer includes a 30-day trial; paid access depends on the plan and number of users.

Expensya lets an employee photograph a receipt and create a categorized expense record, including when working offline. Currency conversion follows the account's settings. Finance teams can combine those records with policy rules and budgets, and connect existing corporate cards through Bring Your Own Card.

The product is becoming Medius Expense. Medius says the name and branding change leaves the existing features, workflows and data in place. New customers join under the Medius Expense name.

From an expense to an accounting export

A submitted report can be reviewed through the Manager, Accountant or Admin tab, depending on the reviewer's role. Open the report and choose Edit expense to correct its fields, then save. This reviewer action cannot change the report, project, receipt image or attached files.

Accountants can also prepare a provisions export to see upcoming reimbursements. Open Accountant > Reports > Export the result > Export the provisions, continue and choose Excel or PDF before downloading. The file includes tax amounts, cost-centre allocations and links between each expense, report and employee.

Native integrations and application programming interfaces (APIs) connect travel, banking, HR, payroll and accounting tools. These connections extend the receipt and approval workflow into the company's existing systems.

Plans and access

The French small-business offer publishes these annual-billing rates for one to nine users:

Offer Price Included examples
Silver EUR 5 per user per month, billed annually Unlimited receipt recognition, mileage, multi-level approval and PDF/Excel exports
Gold EUR 8 per user per month, billed annually Adds advances and connections including Sage, Cegid and SAP
Premium Custom quote Multi-entity workflows, advanced accounting setup and tailored implementation support

Silver and Gold have lower per-user prices at higher licence bands. Payment cards are an optional Gold addition, advertised at EUR 89 per month.

The small-business page offers 30 days without a credit card. Use its trial link, create an account with a work email or one of the supported identity providers, and complete email activation. Larger organisations can arrange a demonstration and quotation for Premium.

Strengths

  • Offline mobile capture uses the account’s currency-conversion settings
  • Provisions exports link expenses, employees and cost-centre allocations
  • Bring Your Own Card connects an existing corporate-card programme

Watch out for

  • Sage, Cegid and SAP connections are listed under Gold in the small-business comparison
  • Reviewers cannot change a submitted expense’s project, receipt image or attached files through Edit expense
  • Payment-card issuance is an additional charge on the advertised Gold offer

Best for

  • Finance teams handling employee expenses across currencies and business units
  • Accountants preparing reimbursement provisions and accounting exports
