What it does

Invoice Crowd connects proposals, estimates, invoices and payments, with accounting tools for small businesses and agencies. Accepted work can carry into billing with its agreed items and deposit details. A free account covers five customers; paid plans add recurring billing, accounting and more payment gateways.

For an agency preparing a detailed scope, start in Proposals > New Proposal and choose a template or a blank document. A proposal can include content sections and signatures, while an estimate suits a simpler list of work and prices. Where several people must sign, approval waits for all required signatures. An approved proposal is final, so duplicate it to create a revised version.

Estimate conversion preserves the agreed lines, including quantities changed or optional items removed by the customer. The resulting invoice can have its own date, purchase order reference and deposit or balance arrangement. Editing that invoice leaves the approved estimate intact. If you enable automatic conversion, acceptance creates and emails the invoice immediately; use manual conversion when someone must review the bill first.

Choose by customer count and workload

The displayed monthly plans are:

Plan Monthly price Customer profiles Business profiles
Free $0 5 1
Solo $10 100 1
Pro $15 500 2
Team $20 1,000 5
Business $30 Unlimited 10

Free includes unlimited invoices and estimates, three proposals and PayPal. Paid plans share the main features, but proposal allowances and team capacity vary. Annual billing is discounted, and every paid plan has a 30-day trial without a card. Recurring billing, accounting and the customer portal require a paid plan.

For a custom connection, the programming interface (API) can read records and create selected drafts. In Integrations, the owner creates a key for one business and chooses its permissions. Sending invoices and taking payments remain separate actions, so creating a draft from another system does not automatically bill the customer.

Strengths

  • Preserves customer choices when converting an estimate into an invoice
  • Proposal approval can require every designated signer
  • API keys restrict access to one business and selected record types

Watch out for

  • Recurring billing and the customer portal require a paid plan
  • Automatic estimate conversion sends the invoice immediately

Best for

  • Agencies carrying an agreed project scope into billing
  • Small businesses keeping several business profiles in one invoicing account
