What it does
KnowledgeOwl is hosted knowledge-base software for creating article collections and presenting them to readers. Its documentation describes category-based organization, article templates and synced content, keyword and tag search with autosuggest, reader-group restrictions, and a 30-day trial of any plan.
Create articles in a structure readers can search
KnowledgeOwl's article workflow starts with a category: authors can create a blank article, make a one-off copy from a template or existing article, import content from Word or another tool, or create a synced copy shared across categories or knowledge bases. A synced article keeps its body and versions aligned with the original, which can reduce duplicated upkeep when the same guidance belongs in more than one place.
Readers can search with keywords or tags. Keyword search supports autosuggestions and a full results page; tag search starts with a colon and returns content labeled with the matching tag. Reader groups can restrict categories, with restrictions inherited by subcategories and their articles, so a knowledge base can separate content for different audiences.
Plans are subscription-based, with the number of authors and knowledge bases adjustable; the vendor describes unlimited readers and category nesting. The 30-day trial includes product features, but the pricing documentation says trial accounts cannot create a fully public knowledge base unless the vendor enables it. That restriction matters if the first evaluation task is to publish a public help site. No authoring, reader access, or search behavior was tested.
Strengths
- Articles can be copied or kept synchronized across categories and separate knowledge bases.
- Keyword and tag search both support autosuggest, and full results provide a deeper search view.
- Reader-group restrictions can be applied to a category and inherited by its contents.
Watch out for
- Trial accounts cannot create a fully public knowledge base without vendor enablement.
Best for
- Teams that need public or internal article libraries with shared content and audience-specific access
