What it does

Payhawk combines expense capture, approval routing, purchasing and card records with group policies and accounting integrations. Companies buy the modules they need, with account setup and business checks before payment access. It serves supported businesses in the US, Canada, UK and Europe.

Review once, then follow the accounting handoff

In Payhawk's web portal, an assigned reviewer opens Spend > Review, checks an approved expense and clicks Review. It moves to Pay > Confirm details. Bulk review is limited to approved expenses without warnings; items with warnings need individual attention.

With a live accounting connection, review also triggers the expense export. Payment information follows after the expense is reviewed and the transaction settles. An administrator sets up the connection under Settings > Integrations. The expense's Activity section shows export events, while its Export section provides the details.

Companies using files instead can configure accounting templates under Settings > Exports, then generate Excel or CSV files through the Export app. A download from Spend serves reporting purposes and does not update accounting export status. That distinction matters when checking which records have reached the books.

Modules and costs

Payhawk quotes for combinations of Cards & Expenses, Accounts Payable, Procurement and Travel. Additional cards, invoices, reimbursements and purchase orders can affect the price. Advanced accounting integrations and multi-entity management are among the optional additions. Contracts are generally annual or multi-year; included implementation sessions depend on the chosen scope.

Payhawk also states that its UK service excludes businesses and small charities falling within its published micro-enterprise restrictions.

Joining a company account

Employees usually receive an invitation from their administrator. Register opens account creation, followed by name, mobile number and SMS verification. Activation takes place in the Payhawk mobile app. The company must complete additional checks before payment functions become available.
