What it does

Paylocity for Finance combines purchasing and expenses with accounting recommendations, approval records, accounting-system synchronization and prepaid expense schedules. The former Airbase product is offered through a tailored company package, with employee access managed by the organization.

Spread a prepaid contract across its accounting periods

Paylocity for Finance lets a team enter a contract's start and end dates and select its prepaid account. Its straight-line amortization feature then generates monthly journal entries, spreading the cost across the specified period. Dates can also be extracted from the invoice, and some accounting integrations support imported amortization schedules.

For everyday transactions, category suggestions use previous entries and fields such as vendor, line item and transaction tags. Receipts, approvals, purchase orders and contracts stay with the spending history. These records give the accountant the context behind an entry before it reaches the general ledger.

Buying the modules your company needs

Pricing is by quote. Finance modules include expense management, corporate cards, accounts payable, procurement and headcount planning. A company can implement part of the suite and add modules later. Onboarding is planned around its requirements, rather than a fixed published timetable.

Use Get Pricing or Request a demo to discuss the finance modules and accounting connection. A free download of the mobile app is not a free company subscription.

Finding the right login

The product was previously called Airbase, and Paylocity's support page still directs Finance users to dashboard.airbase.io/login. Use the login method enabled by your employer. If you belong to several company accounts, choose the relevant company after signing in. Your company's Airbase administrator handles access problems.

Suppliers use a separate Vendor Portal invitation from their customer. That onboarding collects the bank, contact and tax details needed for payments; it does not create an employee finance account.

Strengths

  • Contract dates and a prepaid account drive monthly amortization entries
  • Purchase documents and approvals remain attached to the spending history

Watch out for

  • Employee login methods and access are controlled by the company
  • Implementation scope and timing are set through a tailored onboarding plan

Best for

  • Finance teams connecting purchasing and prepaid expenses to an existing accounting system
