What it does

Pilot combines bookkeeping and accounting services with expense visibility, financial reports, dashboards and cash-flow scenario tools. US entities can choose AI-based Essentials or plans with a bookkeeping team, with tax and CFO services priced separately. A 15-day trial lets a business connect its accounts and see financial reports without a credit card.

Pilot pairs its accounting service with a platform for following the business's financial records. Expense visibility and dashboards provide the operating view, while financial reports and communication tools connect the customer with the accounting team.

Choose the level of bookkeeping

Essentials starts at US$99 per month for AI-based cash bookkeeping, using bank and card transactions. It is for businesses with up to US$100,000 in monthly expenses. Cash bookkeeping records money when it enters or leaves an account.

Core starts at US$299 per month billed annually, or US$399 with monthly billing at the entry expense level. It adds a bookkeeping team and cash or accrual accounting, with pricing increasing as business expenses grow. Accrual accounting also records amounts earned or owed before payment. Custom is quoted for more involved accounting and can work in the business's own QuickBooks Online account.

The bookkeeping, tax and advisory services determine which work Pilot's staff perform. Tax preparation and CFO support are separate purchases, so a bookkeeping price does not cover every service advertised on the website.

Getting the books moving

Create the trial account, provide the business information and connect its bank accounts. The 15-day trial needs no credit card and produces live financial statements from those connections. During ongoing work, use the shared communication tools to answer transaction questions and provide the context the bookkeeping team needs to finish the books.

Pilot supports US entities, including US entities whose owners are abroad. It can consolidate reporting for a US entity with foreign subsidiaries, but it does not offer the same standalone service to foreign entities. A company outside that scope should confirm eligibility before planning a transition.

Strengths

  • Essentials and staffed plans offer different levels of bookkeeping support
  • Shared reports and communication keep account questions with the team
  • Custom service can work in an existing QuickBooks Online account

Watch out for

  • Standalone foreign entities are outside Pilot's supported scope
  • Essentials is cash-basis and limited by monthly expenses
  • Tax and CFO services are priced separately from bookkeeping

Best for

  • US small businesses choosing between AI and staffed bookkeeping
  • US startups needing bookkeeping with optional tax and finance support
