What it does

RotaCloud manages staff rotas, availability, leave and optional time-and-attendance records. Temporary Cover brings someone onto another location's rota for a week without permanently assigning them there. An account starts with a 30-day trial, then needs a subscription for continued use.

Use Temporary Cover to borrow an employee from another location. Managers need permission to edit their locations and borrow from specified Temporary Cover Locations; an administrator sets these on the manager's employee page.

Open the shift's three-dot menu, choose Assign Temporary Cover and select an employee. Filter by location if needed; the initial list contains people who can work the role. Confirming adds that employee to the rota for the week.

For an open shift, turn on approval required to claim when several people may want it. Approval is optional by default and can be changed per shift. An orange bell marks pending requests; choosing one assigns the shift. Unselected or expired requests do not send an outcome notification.

Subscription and access

Standard includes rota planning, leave, availability and shift swaps. Pro adds bulk changes, labor forecasts, budget caps, document storage and leave-request rules. Both use employee-count pricing with monthly or annual billing; include administrators and managers in the count. Time & Attendance and text notifications cost extra, while email and push notifications are included.

The trial form asks for email, contact and business details. No payment information is needed initially. After 30 days, add payment details to continue, or leave the account inactive without charges.

Strengths

  • Temporary Cover avoids permanently adding a worker to another location
  • Open-shift approval lets managers choose among several requests

Watch out for

  • Unselected or expired open-shift requests do not notify the employee of that outcome

Best for

  • Multi-location employers borrowing staff for individual shifts and reviewing open-shift claims
