What it does
Zoho CRM manages leads, contacts, deals and follow-up activities, with workflows and separate team spaces for colleagues involved in a sale. Its Free Edition supports three users. Paid editions add capabilities such as multiple pipelines, email integration and more detailed automation.
Start with three users for free
Zoho CRM Free Edition includes contacts, reminders, tasks, meetings, calls, standard reports and workflow automation. It allows up to ten custom email templates and documents 5,000 API calls a day for connecting other software.
The paid editions are Standard, Professional, Enterprise and Ultimate. Standard adds email integration and multiple sales pipelines; Professional adds tools such as process blueprints and quote configuration. Prices depend on currency and billing choice.
Automating a qualified lead's follow-up
A workflow combines a record type, trigger, conditions and actions. Under Setup > Automation > Workflow Rules, create a rule for the relevant module. Select the event, limit it to the leads that qualify, then add a task, email notification or field update. Zoho also offers Ask Zia for describing a workflow in conversation.
Team-user licences have different permissions from full CRM users. They suit colleagues working in team modules, but cannot own records or run reports in the main organization modules.
Strengths
- Free Edition accommodates a three-person sales team
- Workflows can create tasks, send notifications and change fields
- Team modules provide separate spaces for supporting departments
Watch out for
- Team-user licences restrict access to organization-level records and reports
Best for
- Sales teams with cross-department deal handoffs
